Introduction
The auto email feature in the security guard app back office dashboard allows administrators to automatically send specific reports—such as incident, fire alarm, or daily activity reports—directly to selected recipients. This automation saves time, ensures timely communication, and helps maintain consistent reporting for clients or supervisors.
By using this feature, users can choose to send reports immediately, daily, or weekly, based on their operational needs.
Prerequisites
• You must have admin or manager access to the back office dashboard.
• The email addresses of the recipients should be active and correctly entered.
• Ensure your subscription includes the auto email report feature.
Step-by-step instructions
1️⃣ Log into the back office dashboard,
Open your browser and log in to the security guard app.
2️⃣ Navigate to Auto Email Reports
From the left-side menu:
- Click Reports & Logs
- Select Auto Email Reports
Then choose the appropriate site from the Select Site dropdown menu.
Next, click the + Add New button located at the bottom-right corner.

3️⃣ Enter the Auto Email Report Details
In the Add Auto Email Report screen, complete the following fields:
- Name – Enter a title for the auto email report.
- Description – Add an internal description or note.
- Frequency – Select how often the report should be emailed:
- Immediately
- Daily
- Weekly
- Select Reports – Choose the report types you want to send automatically.
- Recipients Email Addresses – Add one or multiple recipient email addresses.
4️⃣ Select the Frequency
Tap the Frequency dropdown and choose your preferred schedule:
- Immediately
- Daily
- Weekly
5️⃣ Select the Reports
Tap the + icon beside Select Reports and choose the reports you want included in the auto email schedule.
Available report types may include:
- Break-In Report
- Fire Alarm Report
- Hourly Report
- Incident Report
- Parking Violation Report
- Police Onsite Report
- Suspicious Activity Report
- Trespassing Report
- Vandalism Report
6️⃣ Add Recipient Email Addresses
Tap the + icon beside Recipients Email Addresses.
Enter the email address of the recipient, then tap Save.
Repeat the process if you want to add multiple recipients.
7️⃣ Save the Auto Email Report
After completing all fields, tap the Save button to activate the auto email schedule.
Once saved, the auto email report will appear in the Auto Email Reports list.
Additional Tips
✔️ You can edit or delete existing auto email reports anytime from the dashboard.
✔️ Double-check recipient email addresses to avoid delivery failures.
✔️ Use clear and descriptive names for easier management of multiple schedules.
✔️ Different report frequencies can be created for different sites or clients.
✔️ Ensure reports are properly configured before enabling automatic delivery.
