Introduction
The Daily Activity Report (DAR) is an essential feature that records the day-to-day activities, incidents, and observations made by guards at a site. Exporting the DAR in PDF format allows admins, managers, and guards to easily share, print, or store these reports for record-keeping and client communication.
This article explains how to export the DAR as a PDF from both the Back Office Dashboard and the Guard Mobile App.
Prerequisites
You must have Admin, Manager, or Supervisor access with permission to view and export reports.
Ensure that your internet connection is active and pop-up downloads are allowed (for web users).
The latest version of the Security Guard App is recommended for optimal performance.
Step-by-step instructions
🖥️ On the back office dashboard
Step 1: Log in to your back office dashboard using your registered credentials.
Step 2: Open Reports & Logs Section
From the left-side navigation panel, locate Reports & Logs.
Click on it to expand the available report options.
From the submenu, select:
Daily Activity Reports
This will open the DAR reporting screen.
Step 3: Select Site and Apply Filters
On the Daily Activity Reports screen:
- Click the Select Site dropdown menu.
- Choose the required site/post.
- Select the desired report date.
- Apply any additional filters if available.
The system will automatically load the corresponding DAR records.
This helps you generate reports only for the selected location and time period.
Step 4: Open the DAR Options Menu
Once the report loads successfully, move to the top-right corner of the DAR section.
You will see a:
Three-dot Menu (⋮)
Click this icon to open report options.
The menu contains actions related to report exporting and sharing.
Step 5: Choose Export Option
After clicking the three-dot menu, you will see the following options:
- Download PDF
- Email Report
To Download the Report:
Click Download PDF
To Send the Report by Email:
Click Email Report
Step 6: Enter Email Recipients (For Email Option)
If you selected Email Report, an email popup window will appear.
Here you can:
- Enter recipient email addresses
- Add multiple recipients
- Review report details before sending
To add more recipients:
Click:
Add Email Field
After entering all required email addresses, click:
Send
The system will process the report and send the PDF to all entered recipients.
Step 7: PDF Generation Process
After selecting either:
- Download PDF
OR - Email Report
The system automatically generates the DAR report in PDF format.
If you selected:
Download PDF
The PDF file will begin downloading automatically to your device.
If you selected:
Email Report
The report will be attached and sent to the provided email addresses.
During PDF generation, you may see a processing screen similar to the one below.
Once completed:
- The export button becomes available
- The generated PDF can be downloaded successfully
📱 on guard mobile app
Step 1: Open the Security Guard Mobile App and log in using your credentials.
Step 2: From the Post Sites list, select the desired site (e.g., Chestnut Ave).
Step 3: Once on the site dashboard, tap the More (⋯) icon at the bottom-right corner of the screen.
Step 4: Select Daily Activity Report from the list of options.
Choose the date or filter option to view the desired Daily Activity Report (DAR). Then, tap the three-dot menu (⋮) at the top-right corner.
Step 6: Select Download PDF from the menu options.
Step 7: Once the PDF is generated, tap the Export button to save or share it via supported apps such as Email or WhatsApp.
Additional tips or notes
For web users, disable any pop-up blocker to ensure the PDF downloads successfully.
On mobile, check your device’s Downloads or Documents folder for saved files.
If the export fails, verify your storage and file access permissions in the app settings.
You can also schedule automated DAR reports from the Back Office Dashboard under the Auto Email Report section.
